Registration for Guests
Guest registration is intended for participants who would like to attend the IAESTE Annual Conference without acting as official IAESTE delegates or being directly involved in the administration and organisation of the IAESTE exchange.
Guests may include representatives of:
- institutions interested in joining or cooperating with IAESTE;
- universities within the IAESTE network that are not directly involved in exchange administration;
- employers, partners or other organisations interested in IAESTE and its activities.
Step 1: Complete the guest registration form
Provide your personal and institutional details, select your participation option, and enter your travel and accommodation requirements.
Please submit your information only once.
Step 2: Review and confirmation
Submitting the form does not automatically confirm your participation. All guest registrations will be reviewed by IAESTE Global and, where relevant, confirmed with the respective IAESTE committee.
Once your participation has been approved, you will receive a confirmation email with further information about the conference, payment instructions and the next steps.
Registration & Payment Deadline
1 December 2026
Both registration and payment of the conference fee must be completed by this date. Guests requiring visa support are encouraged to register as early as possible.
Full Conference Package
29 January – 4 February 2027
Conference Fee
EUR 679 per person
Price subject to change.
The fee includes:
- participation in all conference sessions open to guests and all registered participants;
- accommodation at the conference venue for the official package period;
- airport pick-up at Julius Nyerere International Airport on 28 or 29 January and drop-off on 4 February;
- meals and coffee breaks throughout the official conference programme;
- all official dinners, receptions, networking and social activities included in the package;
- City Tour & Networking in Dar es Salaam;
- Gala Dinner & Awards.
Optional activities outside the official conference package, including post-conference tours, are not included.
Weekend Conference Package
29 January – 1 February 2027
A shorter participation option is available for guests who cannot attend the full conference.
Weekend Package Fee
EUR 400 per person
The Weekend Package covers activities and services included in the guest programme from Friday, 29 January through lunch on Monday, 1 February 2027.
The fee includes:
- participation in conference sessions open to guests and all registered participants during the package period;
- accommodation from Friday, 29 January until Monday, 1 February;
- airport pick-up at Julius Nyerere International Airport on 28 or 29 January and drop-off on 1 February;
- all meals and coffee breaks during the package period, including lunch on Monday, 1 February;
- all official dinners, receptions, networking and social activities scheduled during the package period.
Programme activities taking place after lunch on Monday, 1 February are not included.
Daily Participation
EUR 40 per person / day
Guests may register for one or more individual conference days. Please indicate your preferred date(s) in the registration form.
The daily fee includes:
- participation in sessions open to guests and all registered participants on the selected day;
- lunch and coffee breaks;
- dinner and official social or networking activities scheduled for that day;
- scheduled group transportation between designated meeting points in Dar es Salaam and the conference venue in Kibaha.
Accommodation and individual airport or hotel transfers are not included in the daily participation fee.
Cancellation & Refund Policy
- Cancellation within 14 days of payment and no later than 30 November 2026: 100% refund
- Cancellation after the first 14 days, but no later than 30 November 2026: 50% refund
- Cancellation from 1 December 2026 onwards: non-refundable
Participant substitutions may be possible subject to prior approval by the organisers.
Extra Nights & Optional Accommodation
Additional accommodation at the conference venue may be requested before or after your selected package dates, or alongside daily participation, subject to availability.
Additional accommodation: EUR 45 per person / night
Please indicate the night(s) you would like to book in the registration form. Accommodation outside your selected package dates is charged separately, including an additional night if you arrive on 28 January.
Visa Support
Approved guests requiring an invitation letter or other supporting documentation for their visa application will receive further instructions from the organisers.
Post-Conference Tours
Guests are welcome to join the optional post-conference tours. These are booked separately and are not included in the conference participation fee.
